What is the Conference attendee lodging rate?
The sleeping room rate for Government attendees will be $123.75 per night single/double occupancy. Industry/exhibitor attendees will be charged a rate of $199.00 per night single/double occupancy. A 12.5% sales tax and room tax will be added to each rate per night. Taxes are a reimbursable expense for all military and government attendees when claimed on travel orders. Since the Government rate per night is higher than the per diem for Orlando, attendees will need an AEA memo to add to their vouchers. The AEA memo needs to be completed before the trip.

Why is the Government lodging rate higher than the allowable $99.00?
The Per Diem, Travel and Allowance Committee authorizes an increase to the lodging allowance up to 25% higher than the established geographical lodging portion of your per diem rate. The M&IE portion of the per diem allowance remains unchanged.
Since the government rate per night is higher than the per diem for Orlando, attendees will need an AEA memo to add to their vouchers. The AEA memo needs to be completed before the trip.
All government travelers should cite the following in Block 16 of their travel orders, DD Form 1610:
For Military: "JFTR, Appendix R, Part I, Para D3 authorizes a lodging
allowance that is 25% above the established lodging portion of the diem per rate rater, therefore, the $123.75 lodging rate is authorized."
For Civilians: "JTR, Chapter 4, Chapter 4, Part S, para D3, authorizes a lodging allowance that is 25% above the established lodging portion of the diem per rate rater; therefore, the $123.75 lodging rate is authorized."

If I use my credit or charge card to reserve my hotel room, will my account be billed immediately?
No, your card will not be charged. However five days prior to your arrival the hotel will obtain an authorization on your card for one night’s room and tax. The hotel charges will be placed on the card presented at check-in. Please note, however, that in the event your hotel reservation is not cancelled at least FIVE (5) days in advance of your expected arrival date, your credit or charge card used to guarantee your reservation will be charged a penalty of one night’s room and tax.

How do I cancel my hotel reservation?
Call Rosen Shingle Creek at 866-996-9939 and ask for the hotel room reservations department. Any cancellation made less than 5 days prior to scheduled arrival date will be charged a non-refundable fee equal to 1 night Room and Tax.

What is the per diem and M&IE rate for Orlando, Florida?
The per diem rate in Florida is $99.00 plus 25%. For Government employees, a Florida Hotel Occupancy Tax Exemption Certificate is available by clicking here. The certificate MUST be completed and submitted to the hotel upon guest room check-in along with appropriate government identification. The M&IE rate is $48.00 per day.

As a Federal Government employee, is my guest room rate tax exempt?
Yes. As a federal Government employee on official travel orders, you are exempt from paying tax. Please Download the Orlando hotel tax exemption form . Provide the completed form to the front desk assistant when you check-out. Taxes will appear on your bill during your stay but they will be deleted upon check-out when the form is received.

Does the hotel have a fitness center?
SDDC overnight guests of the Rosen Shingle Creek may use the hotel Fitness Center on a complimentary basis April 27 – May 1, 2008. The Fitness Center will be open 5:00am – 10:00pm during this time period.
A $10.00 charge per day/per person will apply for use before April 27 and after May 1, 2008 during normal hours of operation.

Are wheelchairs available?
Rosen Shingle Creek wheelchairs are available on a first come, first serve basis at the bell stand. Should the guest want to guarantee a chair, he or she can go through the concierge and the hotel can rent them for a fee.

When will my credit card be billed for my Symposium registration fee?
All attendees who register on or before April 14, 2008, shall have their Symposium registration fees charged to the credit or charge card listed within their registration information on April 14, 2008. All attendees who register on or after April 14, 2008, or on-site in Orlando, shall have their fees charged on the day they register. Those attendees registering on-site must have their physical credit or charge card in their possession at the time of registration. A receipt will be sent via e-mail to confirm payment after your card has been processed.

What does the registration fee include?
The attendee registration fee includes the welcome social, one breakfast meal on April 30, 2008, one dinner meal on April 30, 2008, 12 refreshment breaks, admission to all general sessions, service Tack-On sessions, seminars, symposium banquet, motivational speaker, exhibit hall access, name identification badge and all symposium materials.

What is the Symposium registration cancellation policy?
Attendees who cancel their registration on or before March 31, 2008 will receive a full refund. Registration cancellations received after March 31, 2008 will be non-refundable. All cancellations must be made via the web at help@sddcsymposium.org.

Cancellations via the web are required to ensure each attendee has written documentation of registration cancellation for their own protection.

Is the registration fee reimbursable for military and Government attendees?
Yes. In order to be reimbursed for the registration fee, all military and government attendees must ensure that their travel orders indicate the Symposium "registration fee is a reimbursable expense and includes one breakfast and one dinner meal on April 30, 2008." Be sure to keep your registration fee receipt and attach it to your travel voucher as proof of payment.

No. Part of the registration process is reserving your hotel room. You should receive a separate confirmation for your hotel room in addition to the confirmation you receive for your conference registration.

Yes. The Symposium fee pays for conference meals, speakers, symposium materials, etc. The booth rental fee pays ONLY for floor space in the exhibit hall.

Will the training session presentations be available as handouts?
Many of the presenters will offer handouts to attendees, however all training session presentations provided by the speakers will be loaded on the web site approximately two weeks following the conference.

I'm a presenter. Where is the closest place I can make copies of my presentation handouts? What other amenities are available at the Rosen Shingle Creek?
In the interest of preserving trees and “going green,” we recommend that presenters send SDDC their electronic presentation in advance of the symposium, or give it to staff in the SDDC Administration Room when they arrive at the hotel. Presentations will be loaded on the SDDC website for attendees to access. If copying services are required, you may contact the hotel Business Center. Please refer to the hotel web site for additional details at: www.rosenshinglecreek.com. SDDC is unable to provide copying services to presenters.

The Functional Breakout Sessions will be repeated four times allowing you to attend all of the training sessions that interest you without a conflict.

I am interested in attending the Tack-On Sessions only. Do I have to pay the entire registration fee?
The daily registration fee for Tack-On Sessions is $40.00. This registration fee is available on-site Monday, Thursday, and Friday only. This fee will not grant access to any other Symposium activities outside of the Tack-On Sessions. Payment can be made at the SDDC on-site registration desk.

Yes, individual special event tickets may be purchased on-site. The cost is $60.00 for the Welcome Social, $35 for the Breakfast, $75.00 for the Symposium Banquet, $40/day for the Tack-On Meetings, and $40/day for an Exhibit Hall guest pass.
